We ask for as little as we need, we tell you why, and we don’t sell or trade what you share with us. This page explains what we collect through this website and what we do with it.
The Beautiful Foundation respects the privacy of everyone who visits this website - including the women and children we serve, our volunteers, and our supporters.
This policy explains what personal information we collect through thebeautifulfdn.ca, why we collect it, and the choices you have. It follows the principles of Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
We only collect personal information that you choose to give us.
- Contact form. Your name, email address, the reason you’re reaching out, and your message.
- Volunteer applications. Your name, email, phone number, city and province, age group, availability, the areas you’re interested in, relevant skills, certifications and experience, and whether you are willing to complete a Vulnerable Sector Check.
- People you name on a volunteer application. The name, relationship and phone number of your emergency contact, and the names and contact details of the two references you list.
- Email and social media. Whatever you include when you write to us directly or message us on Instagram.
- Basic website data. Standard information your browser sends, such as pages visited and general location, used only to understand how the site is used.
If you name someone as a reference or an emergency contact, please tell them first. They have the same rights over their information that you have over yours.
We do not ask for sensitive information through this website, and we ask that you don’t send details about your circumstances through the contact form. If you need support, please reach out so we can talk with you directly and privately.
Donations
We do not process or store payment information on this website. When you give, you are taken to our donation partner, who handles the transaction on their own secure platform. Your card details never pass through our site.
We receive a record of the gift so we can thank you, issue a receipt, and keep the records we are required to keep.
Why we collect it
- To reply to your question or connect you with the right program
- To follow up about volunteering, partnership, or an event
- To assess a volunteer application, contact your references, and arrange screening where a role requires it
- To reach someone on your behalf in an emergency while you are volunteering with us
- To acknowledge a donation and issue a receipt
- To understand how the website is used, so we can improve it
We use your information for the purpose you gave it to us, and nothing else. Submitting a volunteer application does not guarantee placement, and we will not use what you tell us on that form for any other purpose.
What we never do
- We never sell, rent, or trade your personal information
- We never share it with other organizations for their marketing
- We never add you to a mailing list without your say-so
We share information only with the service providers who help us operate - such as our website host, email service, and donation platform - and only as far as they need it to do that work. We may also disclose information if the law requires it.
How we protect it
This website uses an encrypted connection (HTTPS). Access to enquiries, volunteer applications, and donor records is limited to the people at the foundation who need it, and our accounts are password protected.
Volunteer applications are treated as confidential. Everyone who volunteers with us agrees to keep information about clients, volunteers, and the organization confidential, and we hold ourselves to the same standard.
No system is perfectly secure, and we won’t pretend otherwise - but we take reasonable steps to keep what you share safe, and we keep it only as long as we need it.
Cookies and analytics
This site uses a small number of cookies to keep it working properly and to understand general usage patterns. You can block or delete cookies in your browser settings at any time; the site will still work.
We use Google Analytics to see how visitors find and use the site. It sets cookies and collects general information such as pages viewed, approximate region, and device type. We do not use it to identify you individually, and we do not use it for advertising.
Your rights
You can ask us at any time to:
- Tell you what personal information we hold about you
- Correct anything that’s wrong
- Delete your information, where we’re not required to keep it
- Withdraw a volunteer application
- Stop contacting you
Just email us and we’ll take care of it. We won’t make it difficult.
Young people
We don’t knowingly collect personal information from children through the general pages of this site, and we ask that children not use the contact form.
Our volunteer form is open to applicants under 18, because some of our programs welcome younger volunteers. If you are under 18 and apply, we will ask for a parent or guardian’s consent before we go any further, and we will not contact your references until we have it.
If you believe a child has sent us information they shouldn’t have, please contact us and we’ll remove it.
Links to other sites
Our website links to other organizations, including our donation platform and social media. Once you leave our site, their privacy policies apply, not ours.
Changes to this policy
If we change how we handle personal information, we’ll update this page and change the date below.
